What we hold about you, why we hold it, and who else ever sees it. Short, because we collect little.

Who holds it

Coherendz India Private Limited. Write to us about anything on this page — the registered address and the email address are at the foot of it.

What you are consenting to

When you sign up you consent to us holding and using your personal data for the purposes below — running your account and your card, passing a claim to the partner behind an offer you choose, registering you for events you choose, and telling you about offers that may interest you. Nothing else.

You can withdraw that consent at any time, in whole or for the messaging alone, by writing to Jaipal Reddy, our Data Protection Officer, at jaipal@coherendz.com. Withdrawing it does not undo what was already done with it lawfully, and withdrawing it entirely means closing the account, because the account cannot run without the number it is built on.

You give us your own data. Where you enter somebody else’s — a guest you are registering for an event — you are telling us you have their permission to.

What we hold

Your mobile number, because it is your account and how you sign in. It is the one thing we always have.

Your name, and an email address if you give us one. Your name is printed on your member card.

What your alumni network tells us — the institution, and where it applies your course, campus, batch year and specialisation — so the right card can be issued and the right offers shown.

What you do here: the cards issued to you, offers you claim or apply for and the answers you give on an application, events you register for and who you register with, and answers you give on a survey or a feedback form.

Technical records: the IP address a form or a sign-in came from, and a log of actions taken on your account. These exist so we can tell a real sign-in from an attack and answer “who changed this” later.

We do not ask for and do not want identity documents, financial details, or anything about your health, beliefs or politics.

Why we hold it

To run the service: to sign you in, issue and support your card, pass a claim to the partner behind an offer, register you for an event and let the organiser check you in.

To tell you about offers that may interest you — which is something you opt into, and can opt out of at any time.

To keep the service safe and to meet our own legal obligations, which is why the technical records above exist.

Who else sees it

Hoopstr Card, the platform that issues and renders the card itself. It receives what a card needs: your id with us, your name, your number and your network.

WhatsApp, through our messaging provider, to deliver a sign-in code or a message to you and to receive the message you send us. They see your number and the message.

The partner behind an offer, when you claim or apply for it — what that offer’s own form asked for, and nothing else. A partner never receives the catalogue of members.

The organiser of an event you register for, which is the institution or chapter running it: your name, your contact details and your answers to their questions.

Our hosting and storage providers, who hold the data on our behalf and use it for nothing of their own.

We do not sell your data, rent it, or share it for anybody else’s advertising. Where the law compels disclosure we will comply, and will tell you unless we are forbidden to.

How long we keep it

While your account is open. When you close it we delete what we hold, except records we are required to keep — a payment recorded against an event, for instance — and audit entries, which are kept because their point is that they cannot be edited after the fact.

A survey or feedback answer given anonymously stays anonymous: there is nothing in it that points back to you, which also means we cannot remove it on request.

What you can ask for

A copy of what we hold. A correction. Deletion of your account and its data. An end to any messaging you opted into. Ask us — the address is at the foot of this page — and we will act on it, or tell you why we cannot.

Much of it you can do yourself: your name, email and profile are editable on your profile screen, and your card and claims are listed there too.

Security

Your number is proved before an account exists. Sessions are short-lived and can be ended. Access to member data inside the console is limited to staff whose role grants it, and every such action is logged against the person who took it. No service is immune — if something affecting you goes wrong, we will tell you.

Children

Hoopstr is for the alumni and students of the networks we work with. It is not intended for children under 13, and we do not knowingly hold their data.

Cookies and what the browser stores

We set no tracking cookies and run no third-party analytics. What the browser keeps is your session, so you stay signed in. The Cookie Policy says exactly what that is.

Who to ask, and how to complain

Jaipal Reddy, our Data Protection Officer, answers questions about your data and complaints about how it was handled: jaipal@coherendz.com.

We acknowledge within 48 hours and aim to resolve within 30 days. If you are not satisfied with the outcome, you may take the complaint to the Data Protection Board of India.

Changes

The date at the top says when this last changed. If we start doing something materially different with your data, we will say so rather than quietly amend this page.
